Interested candidates must be reachable on the Administrative Assistant 2 (Secretary 2) eligible list or eligible to transfer via Section 70.1 of the Civil Service Law.

70.1 Transfer:
To transfer via Section 70.1, you must have one year of permanent, competitive or 55 b/c service in a qualifying title allocated to a salary grade 13 or higher.

Appointments must not result in a second, consecutive transfer with an advancement of more than two S-grades.

Keyboarding Test:
Based on your NYS employment history, you may have to take and pass a typing proficiency exam to qualify for transfer.

To be appointed as an Administrative Assistant 2, candidates are required to pass a typing test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy. Generally, the keyboarding test is only valid for five years from the date the candidate passes it.

Candidates who are appointed to the Administrative Assistant 2 from the Secretary 2 list (#37-924) will not be required to demonstrate they have completed the eight administrative support courses.

If the candidate is not currently incumbering or has not previously held a keyboard or secretarial title, the candidate will be required to take and pass a typing proficiency exam to qualify for transfer.

Duties Description
Contact Management

  • Maintain OSC mailing/contact lists using database
  • Import contacts into old and new databases
  • Pull together contact lists for targeted email blasts
  • Maintain and update elected officials mailing lists and contact information
  • Monitor inbound mailboxes using information to update, subscribe and unsubscribe users
  • Create mail merges and envelopes for large mailings using Microsoft Word

Other Responsibilities

  • Take a lead role in the Comptroller’s annual Student Achievement Award; review Student Awards nominations; follow up with schools to verify information; prepare and send weekly/bi-weekly lists to OSC Mail Room and Reprographics.
  • Queue the Weekly News and eblasts as needed.
  • Act as backup for receiving physical mail, processing time sensitive mail
  • Perform other tasks and duties as directed by supervisor and head of Executive Communications and Correspondence.

Telecommuting may be allowed at Division discretion and in compliance with Office of the New York State Comptroller, telecommuting guidelines and can be discussed at time of interview.
