Job Overview

Under the direction of the program manager or other human resources personnel, the Personnel Assistant I provides key administrative support to the Human Resource Department and is expected to exercise the utmost discretion. This incumbent performs duties that include but are not limited to the following clerical/secretarial tasks: benefits enrollment, compensation changes, recruiting, staffing and employment, policy administration, Equal Employment Opportunity (EEO) procedures and routine customer service. This position requires the use of telephones, computers, scanners, copiers and various other electronic equipment. This position will be supporting multiple sites in various locations/time zones in the Continental United States and must possess the flexibility to adjust schedules as needed.

Responsibilities

Essential Duties & Job Functions:

  • Provide appropriate employment information, forms and lists to applicants and employees.
  • Generate Personnel Action Notices (PAN’s) for human resource activities, such as: position changes, transfers, rate changes, tax exemptions, address, phone, marital status, termination, etc.
  • Maintain personnel records, contact appropriate sources to secure any missing items, and conduct regular internal self-audits for compliance.
  • Facilitate Chugach required training and maintain records for compliance.
  • Facilitate employee access to “MyChugach” and utilize the portal to make personnel changes.
  • Track and maintain all required personnel and position documents which may expire, such as: driver’s license, trade/professional license/certification, passport, etc. Coordinate with employees and management to obtain timely updates and ensure records are always current.
  • Responsible for recruiting efforts and provides regular updates.
  • Monitor and track hours and days worked for each Task Order and provide a report to program management.
  • Schedule and perform pre-screen telephone interviews, compile scores, disposition candidates, conduct employment verifications and assemble new hire/benefit packages as needed.
  • Issue, track and communicate drug and alcohol screening program(s).
  • Support mail service activities, such as receiving, distributing, shipping and account administration.
  • Create folders with associated labeling and organization.
  • Maintain an accurate and current office contact list. Distribute as changes occur.
  • Complete accurate document filing for all Human Resource activities by the end of the work week.
  • Assist with special projects and research as business needs dictate.
  • Perform other duties as assigned.

Job Requirements

Mandatory:

  • High school diploma or equivalent Government Equivalency Diploma (GED).
  • At least two (2) years’ working in a human resources department with similar responsibilities.
  • Flexibility to adjust schedule as needed to best support multiple sites in various locations / time zones in the Continental United States.
  • Ability to pass a pre-hire background and drug screen.
  • Valid driver’s license with an acceptable driving record.
